Upload of external data

Information on how to upload external data to a Denmark Statistics project

When you have a project under the SDCA project database it is possible to upload external data files, e.g. an existing cohort or your own collected data.

To do this it is required that the data is described and approved in the DST project proposal under Reasoning for external data.

Before uploading external data files for use in a project, make sure that the criteria for using your microdata in the project are fulfilled. The criteria are described here:

Files with microdata

Data containing microdata must be uploaded through Statistics Denmark FSE-UPLOAD.

All users have access to this service through the f5 dynamic webtop with their project login. It is possible to upload the data by yourself or you can contact either Marie Kempf Frydendahl or Kasper Norman and we will support you. Guidelines for FSE-upload can be found here:

You can upload data in the following formats: ASC, CSV, DTA, ODS, PDF, SAS7BCAT, SAS7BDAT, SAV, XLS, XLSX.

The number of data files should be kept to a minimum, which will speed up handling time and lower costs.

When the external data + variable list has been uploaded, it is recommended that you notify Datamanager Marie Kempf Frydendahl, who will assist you with the next steps. You will be asked to prepare a description of the uploaded data to be used for a data request in DDV. This description must include the following information:

  1. A brief description of the data (e.g. its source and content).
  2. The dataset name, variable names, and a description of the contents of each variable.
  3. Identify all variables that need to be de-identified, i.e. variables that can be directly linked to individuals or companies (e.g. CPR numbers, CVR numbers, provider numbers, serial numbers, or other ID numbers).
  4. Does the dataset contain key variables that need to be linked to key variables in previously delivered datasets?

(In danish: 1. En kort beskrivelse af data (fx oprindelse og indhold). 2. Datasættets navn, variabelnavne samt beskrivelse af variabelindhold. 3. Marker alle variable som skal afidentificeres. Dvs. variable, der kan henføres direkte til personer eller virksomheder (fx cprnr, cvrnr, ydernummer, løbenummer, eller andre ID-numre). 4. Indeholder data nøglevariable, der skal kobles med nøglevariable i tidligere leverede datasæt?)

In addition to this documentation, a complete variable list must be uploaded as part of the project proposal in DDV. The list should clearly indicate which variables need to be de-identified.

Files without microdata

It is also possible to place information on the project that does not contain microdata, e.g., syntax/code or documentation.

To do this you need to send an email including the file to either the DST contact person or to Marie Kempf Frydendahl/Kasper Norman with the following information:

  • Description of what is in the file.
  • The project number.
  • Complete path to where to place the file (typically in the Workdata folder).

Furthermore you need to write the following statement: “The file does not contain any personally identifiable information”.

Please, only send syntax or documentation when it is necessary and too large to practically type in manually.
